3. Preparation Before Migration

3.1 Import Method

  • The data migration process leverages API calls to transfer pages, attachments, and page structures from Confluence into the ZenTao document module.

3.2 Import Limitation

  • No Data Volume Restrictions: ZenTao imposes no limits on the volume of Confluence data that can be imported.
  • Duration of Import: The time required for the import process may increase with the amount of data, due to parsing and processing. It is advisable to conduct imports during off-peak hours when handling large datasets to minimize impact on system performance.

3.3 Content Included in the Import

  • Spaces: All spaces in Confluence, along with user access permissions, will be included in the import.
  • Pages: The import will encompass page content and the hierarchical structure of pages within Confluence spaces, including user access permissions.
  • Attachments: All attachments will be imported.
  • Users: All Confluence users will be imported; however, importing user groups and their permissions is not currently supported.

Notes

  • Verify that the versions and deployment methods of Confluence and ZenTao are compatible to ensure a smooth data migration process.
  • Check the data format in Confluence to ensure it aligns with ZenTao's import requirements.
  • For a unified migration, it is recommended to use a dedicated migration account with the necessary permissions.
  • Ensure that the account used has the required permissions to access ZenTao's APIs.
  • Prior to migration, it's advisable to back up existing data in ZenTao to prevent any potential data loss or conflicts.
  • If Confluence is still in operation, switch it to maintenance mode before migration to avoid generating new data during the export process.
  • Import Duration: As the API import involves data transmission and parsing, expect the import time to increase with larger data volumes. Perform imports during off-peak hours when dealing with substantial data.
  • Network Stability: Since API imports rely on stable network connectivity, it’s essential to conduct this operation in a reliable network environment to avoid interruptions during data transmission.

4. Start Migration

Log in with ZenTao administrator account and navigate to the "Data Import" section in Admin.

Click on "Import Confluence" to proceed to the Confluence information confirmation page. (If you are importing data using the REST API, please ensure that there is a stable network connection to the Confluence server.)

4.1 Connecting to Confluence

4.1.1 Entering Confluence Information (Confluence Cloud Version)

  • Confluence Domain: The domain name you enter in the browser's address bar when accessing the Confluence Cloud service.
  • Confluence Administrator Account: An account with super administrator permissions.
  • Confluence Password/Token: The API token used to access Confluence's internal interfaces. You can create it by visiting the Confluence API token management page. Once you have the token, paste it into the input box.

4.1.2 Entering Confluence Information (Server/Data Center Version)

  • Confluence Domain:

The domain name for a locally deployed Confluence typically consists of the server's IP address, hostname, or a custom domain (e.g., http://confluence.yourcompany.com:8090), depending on the network configuration at the time of deployment.

The default installation address is accessible via the server's IP or hostname after installation, such as: http://ServerIP:Port (e.g., http://192.168.1.100:8090). For custom domain configurations: If you have bound a domain, confirm the configured domain information with your deployment team or IT department, and check the server's reverse proxy settings (e.g., Nginx/Apache) or DNS records.

  • Confluence Administrator Account:

The administrator account is typically set up during installation or created during subsequent management. When Confluence is first installed, the system prompts you to create the first administrator account (default username is admin). You can also find the administrator account in "Confluence - People - All Users" or contact the person or team responsible for deploying Confluence for the administrator account information.

  • Confluence Password/Token:

The administrator password is established during installation. If you forget it, you will need to reset it via the database or modify it using recovery mode.

Click "Next" to finalize the environment connection and move on to the import Confluence users page.

4.2 Import Confluence Users

You can import users from Confluence into the ZenTao system and manage them under "Admin - User - User."

When importing Confluence users, you can choose a permission group to set as the default for those users in ZenTao. Permissions can be viewed and managed in "Admin - User - Privilege."

Click "Last" to revise the linked Confluence information, or click "Next" to proceed to the data import page.

Note: If there are invited users in the system, it is recommended to import using their Confluence email addresses. For users whose email addresses are unavailable, the ZenTao system will automatically generate usernames like "Confluence1," "Confluence2," etc., which can be used for logging in.

4.3 Importing Confluence Data

Navigate to the data import page and click "Start Import." The data will be automatically imported into the ZenTao system.

During the official data import process, please remain on this page. The import may take some time, so your patience is appreciated.

After all types of data have been successfully imported, the program will indicate "Import Successful." At this moment, the Confluence data import is complete!

5. Relationship Table

5.1 Mapping Relationship Table Between Confluence and ZenTao Document

Confluence   ZenTao Document
Space corresponds to Document Library
Folder corresponds to Chapter
Page corresponds to Document
Database corresponds to Document (the original structure and hierarchy will be preserved, though content data cannot be imported at this time).
Smart Link corresponds to Document (the document includes links).
Blog Post corresponds to Document

Note:

  • Personal spaces created in Confluence (set to "visible only to me") will default to importing data into the ZenTao document "My Space - Confluence Space - Library with the same name."
  • Other spaces created in Confluence, apart from personal spaces, will default to importing data into the ZenTao document "Team Space - Confluence Space - Library with the same name."
  • Archived data can be imported for spaces and pages, but archived folders are currently not supported for import.

5.2 Permissions Mapping Table Between Confluence and ZenTao Documents

Permissions Configuration in Confluence   Access Control Permissions in ZenTao Documents
Space Permissions correspond to Library Access Control Permissions
Folder Permissions correspond to Chapter Access Control Permissions
Page Permissions correspond to Document Access Control Permissions
Blog Permissions correspond to Document Access Control Permissions
Database Permissions correspond to Document Access Control Permissions
Smart Link (no distinct permissions) correspond to Document Access Permissions — Default Public Note Below

Note:

  • User and user group permissions set for the space will be imported into the ZenTao document's "Library Private Permissions - Whitelist."
  • Folder permissions can be viewed by anyone, but only specific users can edit; these will be imported into the ZenTao document's "Chaapter Private Permissions - Whitelist."
  • Page permissions will be imported into the ZenTao document as either "Private Permissions - Read-Only Whitelist" or "Private Permissions - Editable Whitelist."
