Summary : Report templates standardize reporting and enable scheduled, workflow-aware report generation in projects.

Report Templates create value by improving efficiency, standardizing output, reducing errors, and enabling knowledge transfer.


Typical scenarios include:

  • Corporate governance and standardization
    When an organization needs consistent report structure and content standards, templates help ensure reports produced by different departments remain uniform in format and expression, improving overall governance.
  • Faster onboarding for new hires
    New employees can use templates to quickly learn report-writing standards, shorten the learning curve, reduce training costs, and improve both report quality and productivity.
  • Knowledge and experience retention
    High-quality report examples can be distilled into reusable templates, forming shareable organizational knowledge assets that support internal learning and continuous improvement.
  • Personal productivity optimization
    Individuals can organize frequently used reports into a personal template library, reducing repetitive formatting work and focusing more on content creation.

1. Entry to Report Templates

The Premium Version adds the Report Templates feature. Under Report, a secondary navigation item Report Templates is available. Sanplex provides a built-in Weekly Report template. Every Monday, the system automatically generates the weekly report for the current week under Waterfall / Hybrid Waterfall / IPD projects.


You can also create custom templates, configure scheduled generation of project reports, or create reports from templates within a project.

Click Maintain Scopes to add, edit, or delete scopes.

Notes:

  • Built-in scopes cannot be deleted.
  • If a scope contains categories or template data, deletion prompts will appear. You must remove the categories and templates under the scope before deleting it.

2. Maintaining Report Templates

2.1 Create a report template

Creating templates follows the same logic as documents for Publish and Save as Draft.

When creating a template, you can configure the applicable project workflow. By default, the template applies to all project workflows, or you can select only specific enabled workflows.

2.2 Edit a template

The report template editor is broadly similar to the document editor, but report templates add an Insert System Data button. This panel is expanded by default and provides four data lists:

  • Attributes: Fields from the project table, including built-in fields and custom fields defined in the project workflow.
  • Lists: Lists of Requirements / Designs / Tasks / Test Cases / Bugs within the project.
  • Data: Single statistical values for Executions / Tasks / Requirements / Bugs / Test Cases / Reports.
  • Charts: Statistical charts for Executions / Tasks / Requirements / Bugs / Test Cases, including Gantt charts, line charts, pie charts, bar charts, and more.

Rules for insertion:

  • Attributes and Data are inserted into the report as tags.

  • Lists are inserted as a list placeholder or a chart placeholder.

  • When inserting Data or Charts:

    • If you insert execution data, it is inserted directly.
    • If you insert data for other objects, a configuration dialog appears. Different filters display different configuration options (you can explore them as needed; they are not detailed here).

2.3 Scheduling settings

The Schedule button is shown on the list.

Scheduling is disabled by default. After enabling it, you can configure the generation frequency and the access control for generated reports.

  • After setting the frequency, the system generates daily / weekly / monthly reports via background scheduled jobs. When generating reports, Sanplex creates project reports for projects whose workflow matches the template’s applicable workflows.
  • Access control for generated reports adds the following options: Project Owner, Project Team Members, Project Stakeholders, and Project Allowlist. These can be appended to the report allowlist based on project data. Any manually selected users are appended to the user allowlist.

2.4 Disable a report template

A published template can be disabled from the list. A disabled template can be returned to Published status by editing and publishing again.


Templates in Disabled or Draft status will not generate scheduled reports and cannot be used to create reports from templates.

2.5 Delete a report template

Click Delete on the list to delete a report template. The built-in weekly report template cannot be deleted.

3. Using Report Templates

For non-kanban projects that support reports, go to the report list and click Create from Template to select a template and create a report. You can also click Create Report to create a report from scratch.
