Feature Overview

The project template feature aims to help users quickly create projects with a unified structure and standardized processes. By using preset template content (such as stages/iterations, task data, team members, project privileges, document formats, etc.), users can avoid repetitive setup when initiating new projects, improve team collaboration efficiency, and ensure consistency and standardization in project management.

Use Cases

  • Standardizing project workflows

    For projects with standard processes and consistent structures, using templates can quickly duplicate the project framework, unify the execution process, and avoid missing key steps.

  • Quick onboarding for new employees

    Newly onboarded project managers can quickly understand the team's project structure and execution standards by using standard project templates, shortening the adaptation period.

  • Accumulating best practices

    Accumulate efficient and successful project experiences into templates for team members to reuse, promoting excellent practices and improving overall project quality.

  • Reusing periodic projects

    For periodic projects such as quarterly operation plans, annual audits, and monthly regular meetings, templates can be created for repeated reuse to improve efficiency.

I. Creating Project Templates

Click Project > Project Template to create a project template.

Click Create from existing project to create a project template from an existing project.

The select project dropdown only displays non-Kanban type projects that the current user has permission to view.

After selecting a project, the information of the selected project will be brought into the template.

The project template name and project code cannot duplicate those of existing projects and project templates.

Click Save to enter the complete iteration/stage information page, and click Finish Copying to successfully create the project template.

II. Maintaining Project Templates

Click the name of the project template. After entering the project template, you can maintain the information of the project template.

Functions supported for maintenance are: Execution, Task, Document, Process, Test, Team Members, and Privilege Groups.

The operation and location of feature usage are consistent with those under a project

Kanban-type iterations only support splitting tasks in the list.

If you do not want others to see the project template, you can set the usage and editing privileges of the project template. If Private is selected, only the creator and whitelisted users can edit the project template and use the project template.

III. Disabling and Deleting Project Templates

If the project template is not fully configured or needs modification, you can click the Disable button, and the project template will change to a disabled status; disabled project templates will not be displayed when creating a project.

If the project template is no longer needed, you can click the Delete button. The deletion of a project template does not go into the recycle bin and cannot be recovered; please be cautious when deleting.

IV. Using Project Templates

  • Click Create Project, and a pop-up window will appear displaying the active project templates that the current user has permission to use.
  • Click the template you want to use, and it will automatically bring in the template information; after completing the information, you can create the project.
  • Click to enter the project to view the data brought in and created under the project template.

V. Data Supported by Project Templates

  1. Basic Information: Project Name, Project Code, Person in Charge, Access Control, Privilege Control, Task Time Limit, Associated Story Concept, Project Type, Project Workflow, Enable Iteration, Stage Type, Approval Settings, Workflow Custom Fields.
  2. Execution Information: Execution Name, Management Method, Execution Type, Access Control, Execution Code, Product Owner, Execution Manager, Test Lead, Release Manager, Workflow Custom Fields.
  3. Task Information: Module, Associated Execution, Task Template, Task Dependencies, Task Type, Associated Module, Task Name, Priority, Estimated Story Points, Task Description, Keywords, CC To, Workflow Custom Fields.
  4. Document Information: Document Directory.
  5. Process Information: Process Tailoring.
  6. Test Information: Associated Process, Associated Execution, Inspection Objects.
  7. Project Privilege Groups: Privilege Group Name and assigned privileges.
  8. Team Members: Project Team Members, Execution Team Members.
