Summary : Project Space organizes project and execution documentation into libraries with permissions, folders, and allowlist-based private access control.

In Documents, Sanplex provides Project Space, where you can create project libraries and project documents under a specific project. In Project Space, you can also view the project’s API library and Attachment library (for files).


Sanplex provides a Project Space home page where you can browse project groups/portfolios and projects. After entering a project, you can view the libraries and documents under that project.


Next, we will explain how to use Project Space in detail.

1. Assign Permissions

1.1 Browse Permissions for Project Space

Go to Admin > User Management > Permissions > Document Management > Browse Documents and assign the required permissions. Permission assignment can be configured flexibly based on actual business needs.

2. Use the Project Space Home Page

2.1 View the Home Page

Click Project Space in the secondary navigation to open the Project Space home page. By default, it displays the projects you participate in, and you can also view other projects. You can also choose to display closed projects and projects without documents.

2.2 View Libraries and Documents

On the home page, click a project to view the libraries and documents under that project.

3. Manage Project Libraries

3.1 Create a Project Library

Go to Documents > Project Space and click Create Library. You can choose to create a Project Library, an API Library, or an Execution Library under an execution that is in progress within a project.

Note: When you enter Project Space, the system automatically creates a default Project Main Library.

In the library creation dialog, you can create a Wiki library or an API library. When creating a Project Library, you must select the target project. If you set access control to Private, you can configure an allowlist of users.

You can also select a project first and then select an execution. This creates an Execution Library under the selected execution associated with the project.

3.2 View Project Libraries, Execution Libraries, and Attachment Libraries

Use the dropdown in the upper-left corner to select a project and view that project’s Project Library and Execution Libraries, along with the documents under them.

You can also view files stored in the Attachment Library.

3.3 Maintain Folders (Directories)

After creating a Project Library or an Execution Library in Project Space, it appears in the tree navigation on the left.

Hover over a Project Library or Execution Library and click More (on the right) to add folders, edit the library, or delete the library.

Hover over a Wiki folder or an execution document folder and click More to add a sibling folder, add a subfolder, edit the folder, or delete the folder.

  • Edit Project Library: Click Edit Project Library from the dropdown to rename the library. The associated project cannot be changed at this time.

  • Delete Project Library: Click Delete Project Library or Delete Folder. A confirmation dialog will appear.

4. Manage Libraries

4.1 Create a Library

On the Project Space home page, enter a project. Then click Create in the upper-right corner and select Create Library from the dropdown menu. You can choose to create a library under the project or under a specific execution.

In the library creation dialog, you can select the target Project or an Execution under the project, and create the library under the selected project or execution.

Note: Library access control is set to Public by default. You can switch it to Private. Private libraries support configuring an allowlist of users.

4.2 View Libraries

On the home page, you can view the number of documents under a project library.

After entering a project, you can view all libraries under that project. You can also switch projects to view libraries under different projects.

5. Manage Folders (Directories)

5.1 Create a Folder

When a library contains no folders or documents, the left folder navigation is empty. Click Add Folder to create a new folder.

When a library already contains documents, click Add Folder from the settings button at the bottom to create a new folder.

When a folder already exists, click More on the right side of the folder to add a sibling folder or a subfolder.

5.2 Maintain Folders

Click More on the right side of a folder to edit or delete it.

When editing a folder, you can change its library and parent folder.
