Overview

Project Initiation is the starting point of project management. It helps project managers define project scope, objectives, and startup procedures, reducing risks caused by incomplete information, inefficient communication, or complex approval processes, and ensuring a clear direction from the beginning.

Use Cases

• Complex Projects / Large Teams: Complex Projects and large organizations often involve multiple departments, external partners, and longer delivery cycles. During initiation, information can be extensive and approval chains can be long. With more complex organizational structures and cross-level approvals, communication gaps and process delays are more likely, and any oversight may affect later execution.
• Simple Projects / Small Teams: Simple Projects and smaller teams often aim for rapid startup, but without a standardized process, unclear goals or plans can easily lead to execution gaps, wasted resources, or lower efficiency.
• Mid- to Long-Term Projects: These Projects require clear strategic goals, resource allocation, and key milestones to be defined during initiation so that execution stays aligned with the overall plan.
• Short-Term Projects: These Projects usually work under tight timelines, so approvals need to move quickly while goals, plans, and resources are still clearly defined to support efficient delivery.

1. View the initiation list

In the Initiations module under Programs, you can browse the initiation list.

You can use search and the following filter tabs to view different initiation items: All, Pending Initiation, Under Approval, Pending My Approval, Created by Me, Initiated, Closed Out, Canceled, and Closed.

2. Start a Project Initiation

Click Start Initiation on the initiation list page to open the initiation form.

Fill in fields such as Project Name, Priority, Type, Target Market, Applicant, Budget, Product, Plan, supporting documents, and Description, then click Save.

3. Initiation approval

3.1 Start initiation approval

Click Start Initiation Approval in the action column of the initiation list to open the approval dialog.

Enter the Applicant and click Submit for Approval.

3.2 Cancel initiation approval

Click Cancel Initiation Approval in the action bar on the initiation details page to open the cancellation dialog.

Enter the Applicant, upload supporting documents, add a description, and click Submit for Approval.

3.3 Reactivate initiation approval

Click Reactivate Initiation Approval in the action column of the initiation list to open the reactivation dialog.

Enter the Applicant and click Submit for Approval.

3.4 Start closeout approval

Click Start Closeout Approval in the action column of the initiation list to open the closeout dialog.

Enter the Applicant, upload closeout documents, add a description, and click Submit for Approval.

3.5 Withdraw an approval request

Click Withdraw Approval in the action column of the initiation list to withdraw the request directly.

3.6 Approve an initiation request

Click Approve in the action column of the initiation list to open the approval dialog.

3.7 View approval progress

Click the approval status in the initiation list to open the approval progress dialog.

You can view the approval progress over time for initiation approval, cancellation approval, reactivation approval, and closeout approval.

3.8 Customize the initiation approval workflow

Based on actual approval scenarios, you can customize workflows in Admin > Approval Workflow for initiation approval, closeout approval, cancellation approval, and reactivation approval.

4. Close an initiation

Click Close Initiation in the action column of the initiation list to open the close dialog.

Enter remarks and click Close.

5. View initiation details

Click the Project name in the initiation list to open the initiation details page.

There you can view basic information, the full initiation lifecycle, initiation details, related Programs and Projects, closeout information, cancellation information, and history.
