Summary : This section details the project estimation feature in Sanplex, which covers workload, duration, and cost estimation. It explains how project teams evaluate the scope, configure estimation units and expense subjects in the Admin module, and systematically estimate phases and budgets to ensure effective project control.

Through Waterfall project estimation, you can better manage various project processes. In the following sections, we will introduce these features in detail.

I. Admin permission settings

Before using the estimation feature, you must configure user permissions by navigating to Admin > Members > Permissions.

The permissions are divided into Cost Estimation, Workload Estimation, and Duration Estimation. You can configure the specific operational rights within each permission group.

II. Project estimation

The Project Manager, Product Manager, and relevant stakeholders jointly review the project stories and goals, determine the project scope, and conduct a preliminary estimation of the project scale. The Product Manager determines the team's working efficiency based on historical experience and data (from the organizational metrics repository). Then, based on the scale estimation, they estimate the project's workload, duration, and cost. These results are recorded in the Sanplex project estimation module (testing, configuration, and project management tasks must all be included in the scale estimation).

  • Workload estimation: Calculates the required workload for the project based on the known scale, complexity, and identified working efficiency.
  • Duration estimation: Breaks down the workload according to project milestones. It estimates the required duration for each milestone based on its workload and allocated resources. Formula: Duration = Milestone Workload / Number of assigned personnel.
  • Cost estimation: Divides costs financially into direct costs and indirect costs. Direct costs include personnel salaries and procurement/outsourcing costs. Indirect costs include rent, utilities, benefits, and training.

1. Configure basic estimation settings

Before performing estimations, you must set the estimation unit, unit labor cost, daily working hours, and working days per week by navigating to Admin > Model Configuration > General > Estimation.

2. Workload estimation

Click Project, select your project, and then navigate to Other > Estimation to enter the "Workload Estimation" page. You must estimate the workload before you can proceed to duration estimation.

Here, you configure the project scale, total hours, unit labor cost, estimated labor cost, and daily working hours. If the estimation unit is hours, the scale in workload estimation equates to the total hours of all project stories. You can set a custom scale or use the actual calculated scale.

To view the actual project scale, simply navigate to the Project > Story list and check the total hours of all stories.

3. Duration estimation

After completing the workload estimation, you can proceed to the duration estimation.

Duration estimation calculates the workload for individual phases. The workload for each phase is allocated from the total scale based on a predefined workload percentage. You can customize these values according to the actual phase information of your project.

4. Cost estimation

Before performing cost estimations, you must add and configure expense subjects by navigating to Admin > Model Configuration > General > Expense Subjects.

The cost estimation module includes a Summary and a List view. Click the Create or Batch Create button to add new cost estimations.

Fill in the relevant information on the cost estimation creation page.

After clicking Save, you will automatically return to the list page. You can edit or modify the expenses using the Edit and Delete buttons on the right side of the list.

You can view the total estimated budget in the Summary tab.
