General Kanban is highly flexible and is suitable for managing non-R&D work. With Kanban, users can easily build specific workflows to manage day-to-day affairs or enable team collaboration in a visual way.

I. Kanban Spaces
A space can be understood as a project. Within a space, you can display, track, and manage all work items involved in that project through Kanban boards.
- Spaces are available in three types: Private Space, Collaborative Space, and Public Space. Different space types have different privacy attributes and collaboration patterns. Users can manage work in different spaces based on privacy requirements and collaboration needs.
- Involved This is mainly used to filter all spaces and Kanban boards that the current user is involved in (i.e., the user is included as a space member, a Kanban team member, or on the whitelist).
- Show Closed Works with the current tag filters to control whether closed spaces are displayed. It is disabled by default.

1. Assign Space Permissions
Before using Kanban, go to Admin > Users > Privileges to grant permissions for the Kanban view. Since General Kanban is a general-purpose feature, it is recommended to enable all related privileges.

2. Create a Space
On the Kanban page, click Create Space to create a new space.

You can also click the global action button “+” and choose Create Kanban Space to create a space there.

Select the space type (Collaborative, Public, or Private), then maintain the space name, owner, team, and space description. Click Save to create the space.

2.1 Collaborative Space
- General Kanban adds Collaborative Space. A collaborative space has a certain level of privacy: only the owner and team members can access it, which is convenient for team collaboration.
- Operation permissions are mainly controlled via the owner and team members. For Kanban boards created under a collaborative space, the board owner and board team can only be selected from the space owner and space team.
- Non-owners and non-team members have no permissions for this space. After an upgrade, historical space data is assigned to collaborative spaces, and whitelist members will be added to team members.

2.2 Public Space
- In General Kanban, Public Space can be used to manage internal affairs that can be made public, improving transparency.
- Operation permissions are mainly controlled via the owner and team members. For Kanban boards under a public space, the board owner and board team can only be selected from the space owner and space team.
- In a public space, non-owners and non-team members have view-only permissions and can view all Kanban boards in that public space.

2.3 Private Space
- A Private Space is a fully personal private space. Whitelist members have view-only permissions.

II. Kanban Regions
1. Create a Kanban Board
Using a Collaborative Space as an example, click Create Kanban. You can modify the space type and the associated space. After completing the form, click Save to create a Kanban board.
Kanban team members can be selected from all members in the system address book. After adding them, they will be synchronized into the space members.

Click the Kanban board name under the space to enter the board.

2. Regions
Use case: Regions are suitable for large-scale project management or company business planning. Regions can be used to segment business types, allowing a single Kanban board to provide a global view of overall operations.
By default, a Kanban board has one default region. When you enter the board, All Regions is selected. You can add multiple regions, and the content in each region can be expanded/collapsed.

Click Add Region from the More menu, enter a region name, choose a region style, and click Save to create the region.

5. Create a Swimlane
Click Create Swimlane from the More menu. Enter the swimlane name, select the swimlane’s column type and color, and then create the swimlane in the region.
For swimlane columns, you can choose to use independent columns or share the same columns with other swimlanes.

6. Swimlanes and Columns
Use case: Swimlanes can be used to segment functional modules or business types, and can also be used to segment importance and priority. By default, there is only one swimlane on a Kanban board; for simple work, one swimlane is sufficient.
6.1 The system default column statuses are Not Started, In Progress, Done, and Closed, representing the workflow of a specific work item. You can customize a workflow by adjusting column names according to real business scenarios.

7. Maintain Kanban Columns
7.1 Click the More button in a column to edit the column name.

7.2 Click the More button in a column to set the Work-in-Progress (WIP) limit for that column.

If the number of cards in a column exceeds the WIP limit, the system will show a red warning.

III. Kanban Cards
1. Create a Card / Batch Create Cards
Click the “+” button and choose Create Card or Batch Create Cards. Enter the card name, swimlane, assignee, etc., and click Save to create the card(s).

2. Transfer Cards In
Users can transfer cards from other accessible General Kanban boards into the current board.
In the Not Started column, click “+”, then click Transfer In Cards in the drop-down menu. A dialog will display the transfer page, showing card data from all accessible boards by default.

Use the Kanban drop-down list to select the source board. Use the target swimlane drop-down list to select the destination swimlane. Select the cards to transfer, then click Transfer In Cards.

The transferred cards will appear under the selected swimlane.

3. Import Cards
If the import feature is enabled in settings, click “+” in the swimlane column, and the import button will appear in the pop-up window.
Supported import types include Plan, Release, Version, Execution, Ticket, and Other Kanban Cards. The available import types depend on your configuration.

3.1 Import Plans
In a status column, click “+”, then choose Import > Plan from the drop-down menu.
You can filter to find the plans to import, and you can also select the target swimlane to import into.

The imported plan card will be displayed in the target swimlane. The card shows basic plan information. Click the plan name on the card to open the plan details page under the corresponding product.

3.2 Import Releases
In the Not Started column, click “+”, then choose Import > Release.
In the import dialog, select the product and target swimlane, select the releases to import, and click Import.

The imported release cards will be displayed in the target swimlane and show basic release information. Click the release name to open the release details page under the corresponding product.

3.3 Import Executions
In the Not Started column, click “+”, then choose Import > Execution.
In the import dialog, select the product and target swimlane, select the executions to import, and click Import.

The imported execution cards will be displayed in the target swimlane and show basic execution information. Click the execution name to open the execution settings page.

3.4 Import Versions
In the Not Started column, click “+”, then choose Import > Version.
In the import dialog, select the project and target swimlane, select the versions to import, and click Import.

The imported version cards will be displayed in the target swimlane and show basic version information. Click the version name to open the version details page under the corresponding project.

4. Drag and Move Cards
When you drag a card, the target column will be highlighted in orange. Release the card to complete the move. You can also drag cards up and down within a column to reorder them.

If there are many columns and dragging is inconvenient, you can use Move Card to move a card to another column.

5. Maintain Cards
Card “More” actions include: Edit, Archive, Delete, Move, Set Card Color, etc.
Card color settings: Cards are white by default. They can be set to red (Blocked), orange (Warning), or green (Urgent).

6. Archive Cards and View Archived Cards
After the archive feature is enabled, archived cards can be viewed on the right side of the Kanban board.

After clicking Confirm, the card will no longer appear in the Kanban column. Archived cards can still be viewed.

Archived cards can be restored and will return to their position before being archived.

7. Archive Columns and Sub-Columns and View Archived Items
After the archive feature is enabled, archived columns can be viewed on the right side of the Kanban board.

After clicking Confirm, the column will no longer appear in the current region. Archived columns and sub-columns can still be viewed.

8. Delete Kanban Columns
The system supports a parent column with only one sub-column. When there is only one sub-column, you can still archive or delete the sub-column.

IV. Other Kanban Settings
Click Settings to access more Kanban configuration options, including:
- Import: Import Plan, Release, Execution, Version, etc. from Sanplex projects, as well as cards transferred from other Kanban boards.
- Configure whether to display WIP limits, set column width, enable/disable archive, enable/disable progress tracking, and set title alignment.

When progress tracking is enabled, the card editing dialog will display a progress percentage, which can be adjusted manually.
