Sanplex Premium provides an advanced Asset Library feature designed to capture and manage organizational process assets (OPA).

What is an Asset Library?

  • The Asset Library serves as a centralized repository for the experiences, lessons learned, and unique process assets accumulated throughout various project lifecycles.
  • It includes reusable items that provide guidance and measurement value, such as Stories, Test Cases, Issues, Risks, Opportunities, Document checklists, standardized workflows, methodologies, templates, and historical data.
  • By consolidating data scattered across different projects, it provides robust data support and a basis for continuous improvement in future project management.
  • It is also a crucial component of CMMI practices, offering reference, measurement, and guidance for the entire organization.

Asset Library in Sanplex Premium

The module includes the following sub-libraries: Story Library, Test Case Library, Issue Library, Risk Library, Opportunity Library, Best Practice Library, and Component Library.

  • The Test Case Library directly utilizes the functionality from the main Test > Case Library module.
  • The Best Practice Library and Component Library present information in document format. Unlike other libraries, documents can be imported from projects into these libraries, but they cannot be reverse-imported from these libraries back into a project's document module.
  • Information in the Asset Library can be imported from existing projects and then exported into new projects for reuse and guidance.
  • Data within the Asset Library is strictly independent. Editing, approving, removing, or deleting items within the Asset Library will not affect the original source data in the projects.

Below is a detailed guide on using the Asset Library. (Note: The operations for the Story, Issue, Risk, and Opportunity libraries are highly similar. We will use the Story Library as the primary example. The Best Practice and Component libraries are document-based, so we will use the Best Practice Library as an example for those. The Test Case library will be briefly explained as it bridges to the existing Test module.)

I. Assigning Asset Library Privileges

Administrators can assign Asset Library access and approval privileges to specific users by navigating to Admin > Personnel > Privilege.

II. Maintaining the Story Library

(This workflow also applies to the Issue, Risk, and Opportunity Libraries).

1. Creating a Story Library

Navigate to the Story Library page and click the Create Story Library button to open the creation page.

Fill in the library's name and description, then click Save.

To edit the library, click the Edit button in the right-hand action bar.

You can also view the library's detailed overview, where you will find options to edit or delete the library.

2. Importing Stories into the Library

Click on the library name to enter its Story list, then click the Import Story button.

On the import page, you can search for stories by Project or by using specific search filters. Check the boxes next to the stories you want to include, and click the Import button at the bottom.

Approval Workflow:

  • Stories imported into the library must pass an approval process before they are permanently stored. Rejected stories will not be kept in the library.
  • If a user has approval privileges, their imported stories skip the approval phase and immediately enter the "Stored" state.
  • If a user does not have approval privileges, their imported stories are marked as "Pending Approval."

3. Approving Stories

3.1 Assigning to an Approver

In the "Pending Approval" tab, click Assign To on a specific story (or use the batch assign button at the bottom) to route the story to a user with approval rights.

3.2 Executing the Approval

Approvers can click the Approve/Reject button in the action bar or use the batch approval tool at the bottom.

  • Approved: The story is permanently added to the "All Stories" list of the library.
  • Rejected: The story is removed from the library.

4. Editing and Removing Stories

You can edit library stories using the Edit button in the list or on the story's details page. To remove a story from the library, use the Remove button in the list, the details page, or the batch removal tool at the bottom.

On the library story's details page, you can view the "Source Story" information. Clicking the source name will redirect you to the original story in the project.

5. Pushing Stories from a Project to the Library

You can also send a story directly to the Asset Library from within a project.

Single Story: On the project story's details page, select the option to import it into the Story Library.

Batch Push: On the project's story list page, select multiple stories and use the batch action to push them to the library.

Select the stories you want to import, click Import to Story Library, choose the target Story Library in the pop-up modal, and click Import.

  • You can filter the available options using the Story Library dropdown.
  • Users without story approval privileges can select an approver when importing stories into the library.
  • The approver list displays all users who possess story approval privileges.

Once successfully imported, the stories can be viewed in the Story Library's story list.

  • If imported by a user with approval privileges, the story's status will be Stored.
  • If imported by a user without approval privileges, the status will be Pending Approval.

Approvers can view the stories awaiting library entry by navigating to the Story Library > Story > Pending Approval list.

6. Pulling Stories from the Library into a Project

To reuse a library asset, go to the project's story list. In the left-hand "Associated Product" dropdown, select a specific product, then click Import > Import from Story Library.

On the import page, select the target Story Library. You can use search filters to find specific stories.

Check the desired stories and click Import. These stories will be added to the project with an "Active" status.

III. Maintaining the Best Practice Library

(This workflow also applies to the Component Library). Unlike story-based libraries, the Best Practice and Component libraries are strictly document-based and flow only in one direction (Project -> Asset Library).

1. Creating a Best Practice Library

Click the Create Best Practice Library button in the top right corner of the list.

To edit the library, click the Edit button in the action bar, or access the edit/delete options via the Library Overview page.

You can also view the details of the Best Practice Library by checking the library overview, where you can perform operations to edit and delete the Best Practice Library.

2. Importing Documents into the Library

Enter the Best Practice Library and click Import > Import Best Practice Document.

After entering the import document page, you can search for the documents to be imported through the project and the project document library.

Check the documents to be imported, and click the Import button at the bottom.

Documents imported into the Best Practice Library must pass approval to be retained in the Best Practice Library; if the approval is not passed (rejected), they will not be retained in the Best Practice Library.

When users with approval privileges import documents in the Best Practice Library, the documents do not require approval after being successfully imported, and their status directly becomes Stored.

When users without approval privileges import documents in the Best Practice Library, the documents require approval after being successfully imported, and their status is Pending Approval.

3. Approving Documents

3.1 Assigning Documents to Specific Approvers

In the document list under the Pending Approval tab of the Best Practice Library, you can assign a document to users with approval privileges by clicking the Assign To button on the right, or by using the batch Assign To button at the bottom.

3.2 Approving Documents

You can approve documents by clicking the Approve button in the right-hand action bar of the pending document list, or by using the batch Approve button at the bottom.

  • If approved, the document will be retained in the "All Documents" list of the Best Practice Library.
  • If rejected, the document will no longer be displayed in the Best Practice Library.

4. Editing and Removing Documents

You can edit documents in the Best Practice Library by clicking the Edit button on the right side of the document list or on the document's details page.

You can remove documents from the Best Practice Library by clicking the Remove button on the right side of the list, the batch Remove button at the bottom, or the Remove button on the document's details page.

On the document details page within the Best Practice Library, you can also view the source document. Clicking the name of the source document will redirect you to its original details page.

5. Pushing Documents from a Project to the Library

On the details page of a project document, click More and select Import to Best Practice Library.

Select the target Best Practice Library, choose an approver, and click Import. You can filter the libraries and approvers using their respective dropdown menus.

Users without document approval privileges can select an approver when importing documents into the library. The approver list displays all users who possess document approval privileges.

Once successfully imported, you can view the imported document in the document list of the Best Practice Library. If imported by a user with approval privileges, the document's status will instantly become Stored. If imported by a user without approval privileges, the document's status will be Pending Approval.

Approvers can view the documents awaiting library entry by navigating to the Best Practice Library > Document > Pending Approval list.

IV. Maintaining the Test Case Library

The Test Case Library list within the Asset Library displays the names of all case libraries under the Test view.

Clicking a specific library name will redirect you directly to the case list in Test > Case Library.

The maintenance of case libraries and the test cases within them is performed directly in Test > Case Library.
